MINIMUM QUALIFICATIONS

Standard high school diploma; college degree preferred. Strong math and computer skills; excellent organizational skills; strong written and verbal communication skills; detail-oriented.

 

GOAL

Maintain a computerized master schedule and other necessary student records data to enhance the school program.

 

REPRESENTATIVE DUTIES & RESPONSIBILITIES

 

  • Effectively communicate with supervisor to ensure that attention is given to pertinent matters.
  • Follow instructions and operate within the limits of standard practices and procedures.
  • Interact effectively with the general public, staff members, students, teachers, parents and administrators.
  • Competency in the use of technology based resources including computers, faxes, printers, productivity software, such as Internet use, word processers, spreadsheets, email, as well as understanding the concepts of data management and system security.
  • Ensure that teachers are assigned to grade levels/subjects consistent with the teacher’s certification/content areas.
  • Maintain student scheduling for all terms.
  • Maintain accurate computer data entry including enrollments, ongoing student directory information and withdrawals.
  • Maintain appropriate computerized data to generate accurate FTE and other required reports.
  • Maintain accurate current room utilization and class load records.
  • Maintain records of student grades and absences for each student’s permanent file.
  • Prepare an annual report of transfers and withdrawals, indicating the reason for each student’s departure from the school system.
  • Prepare the student honor roll.
  • Maintain accurate and current transportation data as required.
  • Assist with investigating student attendance problems including parent notification as required.
  • Assist in the preparation and transmittal of transcripts and other official documents relating to students as required.
  • Prepare the senior graduation list with class rank and averages as required.
  • Respond to requests for information about students from colleges, prospective employers and similar agencies with legitimate interests as required.
  • Possess and maintain valid and appropriate license, certificate and/or credential as may be required for this position.
  • Follow work scheduling and attendance requirements in a regular, predictable and punctual manner.
  • Participate in training programs to increase skills and proficiency related to the assignment.
  • Review current developments, literature and technical source information related to job responsibilities.
  • Ensure adherence to appropriate safety procedures.
  • Follow federal and state laws, as well as State and local Board policies including those related to the confidentiality of student and personnel records, standardized test material and other information.
  • Perform other duties as assigned.
