MINIMUM QUALIFICATIONS

Standard high school diploma or satisfactory completion of a General Education Development (GED) Testing Program; business or technical training preferred. Five years of secretarial/clerical work. Ability to establish an effective working relationship with staff and the public; demonstrate excellent verbal and written communication skills; exercise independent judgment and make informed decisions; advanced technology skills with expertise to train and assist others; and manage multiple tasks simultaneously in a fast-paced environment with responsibility for accuracy, timeliness and final outcome. 

 

GOAL

Perform in a highly skilled, organized and professional manner all responsibilities with increased accountability and independent decision making, including informed judgment, preparation and management, to relieve the Departmental Supervisors from daily office procedures.

 

REPRESENTATIVE DUTIES & RESPONSIBILITIES

  • Follow instructions to perform advanced secretarial/clerical work in a fast-paced work environment.
  • Operate standard office technology programs and equipment (such as Microsoft Office, copier, fax) as required by the job.
  • Maintain data, statistics, records and other information, and prepare reports, as required for the program for which the departmental supervisors are responsible; successfully fulfill limited management responsibilities.
  • Type and maintain all correspondence, articles, reports, manuals and other materials on general or technical subjects; draft routine acknowledgments in response to inquiries not requiring a supervisor’s attention.
  • Examine, check and verify complex statistical and other reports for completeness and accuracy of computation; determine conformity to established requirements, and personally follow up the more complicated discrepancies.
  • Exercise a significant amount of authority to complete assigned duties with minimal review by the administrator, with accountability for accuracy, timelines and quality of the final product.
  • Work cooperatively with appropriate personnel to ensure total integrity of District policies, procedures and protocols.
  • Demonstrate skilled problem solving abilities and good judgment in the execution of daily assignments.
  • Provide timely notification on critical/pertinent matters (personnel, budget, and inventory) to supervisor.
  • Schedule appointments and arrange meetings, conferences and trips for administrator; and maintain the office calendar.
  • Answer telephone, greet visitors, ascertain nature of business and direct to appropriate person.
  • Assist in maintaining efficient office operations by providing clerical relief whenever and wherever needed.
  • Interact effectively with the public, staff, students, teachers, parents and administrators, using tact and good judgment.
  • Prepare purchase orders for materials and resources, as well as office supplies, and monitor expenditures.
  • Duplicate, collate, and disseminate written materials to the local schools and other appropriate personnel.
  • Possess and maintain valid and appropriate license, certificate and/or credential as may be required for this position.
  • Follow work scheduling and attendance requirements in a regular, predictable and punctual manner.
  • Participate in required training programs to increase skills and proficiency related to the assignment and assist in training colleagues as needed for successful department operation.
  • Review current documents, literature and technical source information related to job responsibilities.
  • Ensure adherence to good safety procedures.
  • Follow federal and state laws, as well as School Board policies.
  • Perform other duties as assigned.
